Abstract

The growing number of IT devices within an organization demands an asset management system capable of maintaining data consistency and traceability throughout the entire device lifecycle. However, the IT Department of GMS Surabaya Barat still relies on manual recording using Google Sheets, which leads to inconsistent device numbering, untraceable device users, and undocumented maintenance history. This study aims to develop an IT Asset Management Information System that applies the concept of Asset Lifecycle Management at GMS Surabaya Barat. The system was developed using the Waterfall Software Development Life Cycle (SDLC) method and built with the Laravel 13 framework, PHP 8.3, MySQL 8 database, and Bootstrap 5. The system integrates seven interconnected modules, namely asset management, asset assignment, maintenance, asset refresh, procurement, audit trail, and Role-Based Access Control (RBAC), while legacy data from Google Sheets is migrated through an Excel import feature. System testing was carried out using Black Box Testing and the System Usability Scale (SUS). The Black Box Testing results showed a 100% success rate across forty scenarios, while the SUS testing obtained an average score of 82.22, categorized as Excellent. The results indicate that the developed system is able to manage the IT device lifecycle in a centralized, consistent, and traceable manner, thereby supporting asset management at the IT Department of GMS Surabaya Barat.
